Follow-Ups

Follow-ups are used to inform or remind users of actions to be taken to serve a student. They form a checklist of sorts for staff to track and are visible to anyone associated with the program the follow-up was created in. Staff can create a follow-up for themselves or send a follow-up to another staff member.

Creating a Follow-Up


Follow-Ups can be created either under the Advisor/Tutor tab or during a session with a student in the Sign-in Queue.

From the Staff Tab

Create a single follow-up or upload a batch of follow-ups

Creating a Single Follow-Up
  1. Select Create then Create Follow-up/Referral.
  2. Select the department the follow-up should be tied to, who should follow-up, and the reason for the follow-up then select Start.
  3. Search for and select the student, then click Next. If the student doesn't exist in the system, add them to the system by entering in their email address, first, and last names.
  4. Select the program the follow-up should be tied to, the due date for the follow-up, and the follow-up instructions then click Finish.
Uploading a Batch
  1. Create a spreadsheet in Excel that contains only the USU email addresses of the students you'd like to create follow-ups for. Save the file as a .csv (comma delimited) file.

  2. In Achieve, select Create then Upload Student List for Follow-up / Referral.
  3. Select the department the follow-up should be tied to, who should follow-up, and the reason for the follow-up then select Start.
  4. Click Select files... to find the .csv file you just created then click Upload Student File. A preview of the email addresses found in the file will be shown. Click Next.
  5. Select the program the follow-ups should be tied to, the due date for the follow-ups, and the follow-up instructions then click Finish.

During a Session In the Sign-in Queue

Select "Actions" then "Create Follow-up/Referral"

Fill out the follow-up form then click "Save Follow-up/Referral"

Viewing, Updating, and Closing a Follow-Up

Under the Staff tab, select "Follow-Up & Referrals"

Use the filters to find the follow-up you'd like to update or view then select "Show Follow-Ups"

Click the "Show" button next to the follow-up you'd like to open

Make any needed updates

  • To add an update, add notes to any of the follow-up fields (i.e., Follow-Up 1, Follow-Up 2, etc.):

    To save the updates, select Save Follow-Up/Referral Information & Close.


  • To mark a follow-up as closed, add a closing note, check the Mark as Closed check box, then select Save Follow-Up/Referral Information & Close.


    Additional options available:
    • Check the checkbox below the closing note to email the person who created the follow-up and update them on any actions taken.
    • Add a closing action taken.
