Analytics & Reports

Achieve provides built in reports and analytics that can be used to understand advising and make strategic decisions. Data can be viewed within Achieve or exported to Excel for more detailed analysis.

Reservation Analytics

Displays data on student reservations, including:

  • The distinct number of students who booked appointments
  • Total number of reservations made
  • The percentage of reservations by Department/Program/Advisor
  • How the reservations were made (by staff or online)
  • The number of no shows
  • The number of appointments needing follow-ups
  • The total number of cancellations
  • The number of cancellations by staff and online

Reservation Cohort Analytics

Shows the number of reserved appointments broken down by month. Shows both count and percetages. This report can be grouped by department, program, or advisor/group. A date range can be specified.

Reservation QA Analytics

Allows one to view the answers that students provide to questions they are asked when they book appointments. The data can be grouped by question, department, or program and a report range can be specified. All questions/answers can be displayed or specific questions/answers.

Reporting Line Pivot Report

Unknown / Not currently used (reporting lines)

Reservation Analtycis By Reporting Line

Displays detailed appointment data for each appointment, including:

  • Appointment date/time
  • Department and program
  • Advisor
  • Appointment booking questions/answers
  • Student information
  • Banner data

The report can be filtered to display specific departments, programs, or advisor/group. A date range can be specified.

May be more of a userful report to analyize in Excel as it does not include totals

Check-In Analytics

Only useful if using the Sign-in/Check-in process

Displays data on the number of students who have signed-in/checked-in for an advising appointment. Data is shown in counts and percentages. The data includes:

  • Distinct number of students
  • Total number of advising sessions
  • Drop-in sessions vs. pre-scheduled
  • Average advising time
  • Average waiting time
  • Type of appointments (i.e., in-person, phone, chat, email)

The report can be filtered by departments and grouped by department, program, advisor, or appointment reason.

Check-In QA Analytics

Displays the questions students and staff answer as part of the check-in process along with the answers they provide.

The report can show all questions or a sub-set of questions. It can be filtered by question, department, or program and a date range can be specified.

Reporting Line Pivot Data

Check-In Analytics By Reporting Line

Displays detailed data from a student's sign-in/check-in including:

  • Center a student was seen by
  • Department and program
  • Advisor
  • Advising note
  • Advising questions/answers
  • Reason for the appointment
  • Type of appointment
  • Banner data

SMS Monthly Analytics

Displays the total number of SMS messages sent per month.

Daily operational reports are available on the "Reports" tab.

Print Reservation, Follow-ups & No Shows

Allows one to locate appointments that were flagged as No-Shows or that Need a Follow-Up. All appointments are shown initially. The far right column indicates No-Shows and Need Follow-up. By selecting the checkboxes "Reservations with Follow-up" and/or "No-Show" you can see only these type(s) of appointments.

This report is downloaded as a PDF file and not available to export to Excel - Print only

This report can be filtered by department, program, and advisor/group. A date range can be specified.

Reservations Excel Export

Similar to above report but allows one to view online or export to Excel. Allows one to locate appointments that were flagged as No-Shows or that Need a Follow-Up. All appointments are shown initially. The far right column indicates No-Shows and Need Follow-up. By selecting the checkboxes "Reservations with Follow-up" and/or "No-Show" you can see only these type(s) of appointments.

This report can be filtered by department, program, and advisor/group. A date range can be specified.

This is an ideal report to export to Excel.

Displays reservation details including:

  • Department and program
  • Advisor
  • Date/time of appointment
  • Appointment booking questions/answers
  • Student's basic info
  • Advising notes

Each appointment may be displayed on multiple lines depending on how many questions the student was asked as part of the appointment booking process.

Similar to above report but allows one to view online or export to Excel. Allows one to locate appointments that were flagged as No-Shows or that Need a Follow-Up. Displays same information as Reservation Details but each appointment is diplayed on a single line.

 Cancelled Reservations

Displays information about appointments that have been canceled including:

  • The method used to cancel the appointment (online or by staff)
  • The reason the appointment was cancelled
  • The date the appointment was cancelled
  • Details about the appointment that was cancelled

This report can be filtered by department, program, and advisor/group. A date range can be specified.

Reservation Statistics

Displays the total number of available appointment blocks, how many are/were booked, how many no-shows/need follow-ups, and cancellations.

This report can be filtered by department, program, and advisor/group. A date range can be specified.

Advising Notes

Displays all notes added to a student's record. This report includes:

  • The type of note added
  • The source of the note
  • The full note that was created

This report can be filtered by department, program, and advisor/group. A date range can be specified.

All Appointments & Reservation (Print)

Shows all appointment blocks in the system grouped by Department, then Program, and then Advisor/Group. Blocks that are scheduled will display the students basic contact info.

All Appointments & Reservation Detail (Print)

Displays all questions asked as part of the check-in process grouped by Department, then Program, and then Advisor/Group.

Detail QA Report

Displays student appointment details including the following:

  • Student
  • Center
  • Program
  • Advisor
  • Appointment date/time
  • Appointment notes
  • Answers to questions the student or advisor answered

This report can be filtered by center, department, program, or advisor. A date range can be specified.

Single Line QA Report

Displays student appointment details like the Detail QA Report but displays data for each appointment in a single row. Data displayed includes:

  • Student
  • Center
  • Program
  • Advisor
  • Appointment date/time
  • Appointment notes
  • Answers to questions the student or advisor answered

This report can be filtered by center, department, program, or advisor. A date range can be specified.

Summary By Program

Displays a summary (count) of the number of sign-in/check-in appointments by program. Includes:

  • Number of appointments closed
  • No-shows
  • Cancelled appointments
  • Overall total appointments

This report can be filtered by center, department, program, and advisor. A date range can be specified.

Summary By Advisor/Tutor

A summary (count) of the number of sign-in/check-in appointments seen by advisor per month.

This report can be filtered by center, department, program, and advisor. A date range can be specified.

Summary By Reason

A summary (count) of the number of sign-in/check-in appointments and the reason for each appointment per month.

This report can be filtered by center, department, program, and advisor. A date range can be specified.

Traffic Report

A summary (count) of the number of sign-in/check-in appointments by time period (hourly) throughout each day.

This report can be filtered by center, department, program, and advisor. A date range can be specified. The data can be organized in 4 ways:

  • Center daily
  • Center monthly
  • All centers daily
  • All centers monthly

Average Time - Program

Appointment time info by program, including average advising time, average wait time, and total number of appointments.

This report can be filtered by center, department, program, and advisor. A date range can be specified. The data can be organized in 4 ways:

  • Center daily
  • Center monthly
  • All centers daily
  • All centers monthly

Average Time - Advisor

Appointment time info by advisor, including average advising time, average wait time, and total number of appointments.

This report can be filtered by center, department, program, and advisor. A date range can be specified. The data can be organized in 2 ways:
